AI Automations Guide
Training has two AI drafting buttons: one drafts quiz questions for a module, and one drafts a lesson outline for a course. Both give you a starting point inside the form you are already filling in. Nothing is assigned, required or sent to your members until you choose to.
How AI Works in Training
Both buttons are plain links in the Training app, labeled with the word AI: so you always know when AI is involved:
- AI: draft questions from the title, in the Completion check area of the module form on the Modules page.
- AI: draft an outline from the title, next to Add as a lesson in the course form on the Courses page.
Each one works from what you have typed into the form: a title, and for quiz questions an optional description, or for an outline the course's audience. The AI does not read your members, your completion records, your videos or your lesson text. While it works, the button reads Drafting....
Signing in and plans
AI drafting works whenever you are signed in to your All In One Nonprofit account at the member portal, app.allinonenonprofit.com. It comes with the Training app at no extra charge; see current plans on the pricing page. If the drafter cannot be reached, you see "Could not reach the AI drafter right now." and nothing in your form changes.
"Volunteer Safety at the Food Pantry Warehouse" gives the AI far more to work with than "Safety". If a draft comes back empty, the app asks you to try a more specific title.
✨ Draft Quiz Questions
Where: Modules page, Create a training module form (or Edit training module), under Completion check. Click AI: draft questions from the title.
What it needs: the module's Title. If the title is empty, the app asks you to add one first. The Description (optional) is sent too, so a sentence on what the training covers sharpens the questions.
What it does: drafts four multiple-choice questions, each with answer options and a marked correct answer. The completion check switches to Quiz (questions) if it was on Acknowledge, the drafted questions replace any questions already in the form, and Passing score (number correct) is set to the number of questions, so a person must get every one right.
What you get: ordinary questions in the form that you can edit, remove with Remove question, or add to with + Add a question. Nothing is saved until you click Save module (or Update module).
If you already wrote questions by hand, clicking the button again overwrites them. Draft first, then edit.
✨ Draft a Course Outline
Where: Courses page, Create a course form (or Edit course), under Lessons. Click AI: draft an outline from the title.
What it needs: the course Title. If the title is empty, the app asks you to give the course a title first. The Who it is for choice (Everyone, Board members or Volunteers) is sent as the audience.
What it does: proposes up to six lessons, each with a title and a one-line summary, in a Drafted outline panel under the lessons list. The outline alone creates nothing. From the panel you can:
- Click Create as a module on one lesson, or Create all as modules for the whole outline.
- Click Dismiss to throw the outline away.
What happens when you create a module from it: for each lesson the app first drafts four quiz questions from the lesson's title and summary (the same drafter as above), then saves a real module on your Modules page with:
- the lesson title as its title and the summary as its description;
- the drafted quiz as its completion check, with a passing score of every question, or a one-click acknowledgment if no questions came back;
- no video and no written lesson yet;
- the course's audience, set to Optional and One time.
The new module is added to the course as a lesson that opens right away, is required, and needs the lesson before it. The outline marks it Added. Your members are not notified about these modules until you make the course active.
Pressing Create as a module saves the module straight away, even if you then click Cancel on the course. If you change your mind, delete the module from the Modules page.
What to Review Before You Use It
The drafts are a starting point. Before anyone is required to take them, check:
- Every correct answer. Read each question and confirm the marked answer is right for your organization's own policy. A question about your conflict of interest process, safety rules or reporting steps has to match what your policy actually says.
- The passing score. It starts at every question. Lower it on the module form if you want to allow a miss.
- That the questions match your lesson. The AI never sees your video or written lesson, so a question can ask about something the lesson does not cover. Remove or rewrite those.
- The outline's order and scope. Reorder lessons with Up and Down, remove ones you do not need, and set when each opens and whether it is required.
- The lesson content. Modules created from an outline have no video or written lesson. Open each one on the Modules page with Edit and add the lesson before you make the course Active.
- Who it is assigned to. Outline modules take the course's audience and start as Optional. Change Assign to, Required and Renews on each module as needed.
When you reopen a quiz module with Edit, the correct-answer button starts on the first option for every question. Select the correct answers again before you click Update module.
What AI Does Not Do Here
- It does not write lesson text, record or choose videos, or fill in the Write a lesson box.
- It does not mark assignments, score rubrics or write feedback on submissions. You read and mark every submission yourself.
- It does not decide who has completed training, issue certificates, or change anyone's records.
- It does not assign, require or announce anything. Those are settings you choose on the module and course forms.

Working with your organization
All In One Nonprofit works as a shared organization. From My Organization you can set up your organization and see who has joined, and everyone is recognized across every app once they sign in. Anyone who signs in with an email address on your organization's own domain (for example [email protected]) joins automatically; people using a personal address such as Gmail, Yahoo, or Outlook join through the email invitation you send them. Signing in is passwordless: enter your email at the member portal, app.allinonenonprofit.com, and we email you a one-click sign-in link (signing in with Google also works). New to the platform? The Platform Workflows shows what to do first, by role. Deeper in-app collaboration arrives across your apps as we roll it out, so you can set up your organization now and grow into it.
