Welcome aboard. As secretary, your surface area is Board Management’s minutes and resolutions plus the Document Library, where the organization’s record actually lives. Your organization's administrator sends you an invite by email; everything below starts from accepting it. Inside the apps you will also find an interactive Getting Started checklist tailored to your role at the top of the sidebar; this page is the map, that checklist is the turn-by-turn.

Have handy: your bylaws, existing minutes and resolutions (paper or files), and the board roster with emails.

Part 1. Your first week

1.1
Accept your invite and sign in. Open Board Management and work through the Getting Started checklist.Done when: you can sign in and see the minutes and resolutions tools.
1.2
Tour the Document Library. At docs.allinonenonprofit.com, learn the Collections: records versus drafts versus templates.Done when: you know where an adopted document belongs and where a working draft lives.
1.3
Backfill the record. Upload existing minutes, resolutions, bylaws, and policies so history is in one place.Done when: the last year of board decisions is findable by someone who was not in the room.

Part 2. Your first month

2.1
Record your first minutes in the app during or right after a meeting: attendance, motions, votes, and action items.Done when: minutes drafted within days, circulated for approval at the next meeting.
2.2
Route a resolution for e-signature. Take one board decision through the Resolutions workflow and watch it file itself when adopted.Done when: you never chase paper signatures again; the audit trail (who, when, from where) is automatic.
2.3
Run the disclosure collection. Send conflict of interest disclosures to the board and track who has signed.Done when: a complete set for the year, filed.
2.4
Check the retention policy. Confirm the document retention policy exists and the Library’s organization follows it.Done when: what must be kept is kept, and you know for how long.

Part 3. Your rhythm

3.1
Before each meeting: notices out per your bylaws, previous minutes ready for approval.Done when: the meeting can act because it was properly called.
3.2
After each meeting: minutes drafted, decisions needing signatures routed, action items recorded with owners.Done when: the record is complete while memories are fresh.
3.3
Annually: a records review (minutes complete? resolutions filed? disclosures current?), and support the state filings that need corporate records, alongside the treasurer.Done when: an outsider could reconstruct the year from the Library alone.
