AI Automations Guide
The policy generators give you the documents every employer needs; these automations handle the moments in between: hiring, hard conversations, performance, and endings, drafted carefully and reviewed by you.
How AI Automations Work
Improve an existing document with AI: Besides drafting from scratch, you can upload a document you already have and let AI improve it. On the AI Automations page, use the "Improve an existing document" card: pick a file (Word, text, or a text-based PDF), and AI returns a cleaner version plus a prioritized summary of what changed, with your original kept. It opens in the Document Library's Improve with AI tool with the document type preset.
Open ✨ AI Automations from the dashboard. The compliance snapshot reads your organization profile and policy completion status automatically; the rest take a short description right on the card.
- Education, never legal advice. Employment law varies by state and changes constantly. Drafts never invent laws, thresholds, or penalties, and every output ends with a reminder to verify specifics; the sensitive ones (PIPs, separations) tell you plainly when to involve an employment attorney BEFORE acting.
- Every output opens in an editable preview with Copy, Text (.txt), Print, Word (.docx, with your letterhead, footer, and signature), and Email.
- Pricing: included with your All In One Nonprofit plan. See plans and pricing.
HR Compliance Snapshot
The flagship. It reads your workforce profile (employee, contractor, and volunteer counts, your state, multi-state work) and which policies you have completed in this app, then drafts: what employment obligations commonly apply at your size, the policy gaps and what each one exposes you to, and the priorities for your next 60 days. Complete your organization profile first.
Offer Letter Drafter
Warm congratulations with careful language: the role, start date, pay phrased per hour or per pay period (avoiding annualized promise language that can read as a contract), contingencies, a clear at-will statement, and next steps. The Word export carries your letterhead and signature, ready to send.
Difficult Conversation Prep
The conversation you have been putting off, prepped: describe the situation and get a coaching brief covering the setting, a direct-and-kind opening, your key points as facts rather than characterizations, how to respond if they react with anger, tears, or denial, what not to say, how to close with clear next steps, and what to document afterward.
Performance Improvement Plan
A PIP is a documented path back, not a punishment. Describe the situation (facts and examples) and the review period; the draft covers the specific concerns, clear expectations, the support you will provide, check-in dates, consequences stated plainly, and acknowledgment signature lines. Review it with counsel if the employee recently complained, took protected leave, or disclosed a condition.
Separation Checklist & Script
Endings done properly and humanely. The draft starts with the pre-action risk check (the situations where you call a lawyer FIRST), then the logistics checklist (final pay deadlines vary by state, notices, property, same-day access removal), a short respectful meeting script with a witness present, and the day-of sequence. No separation should ever be a surprise; the documentation should already exist.
Interview Question Builder
Structured interviews are both fairer and legally safer. Describe the role and what matters most in it; get 8 to 12 behavioral questions grouped by competency, a 1-to-5 scoring guide with what good answers sound like, and the do-not-ask list (age, family plans, health, religion, and the rest). Ask every candidate the same core questions and keep brief notes.
Job Description Drafter
A clear, welcoming job description that leads with mission impact instead of a wall of requirements: role summary, concrete responsibilities, qualifications without gatekeeping, compensation and schedule exactly as you provide them, an EEO statement, and how to apply. Posting the pay range attracts better-fit candidates (and is required in a growing number of states).
Improve with AI
The drafters above write a document from your answers. Improve with AI does the opposite: it takes what you already wrote and cleans it up. It sits under the long fields on the Job Description, Offer Letter, Volunteer Agreement, Volunteer Handbook and Independent Contractor Engagement Packet generators. On the handbook it will not add required hours, discipline, or anything resembling pay, and on the contractor packet it will not describe how the work is done, what hours are kept, or who supervises it, because those are the facts that turn a volunteer or a contractor into an employee. Write a rough version in your own words, fragments are fine, then click the button. A suggestion appears below the field with Accept and Discard, and your own text is untouched until you accept it, because an unasked-for rewrite of a document that carries legal weight is worse than no help at all.
It is deliberately narrow. It will not invent a fact, a name, a number, a date, a dollar amount or a credential you did not already write, and it leaves a bracketed placeholder where something is clearly missing. It will not add or strengthen an obligation, a promise or a requirement. It will not raise a required qualification you did not give, because a required qualification screens people out, and it will not add a physical demand you did not give, because an invented one can screen out a disabled applicant who could do the job. It will not rename the role: the position title, the department and the reporting line travel with the request as settled facts. Owner and admin only, with a daily limit for each organization.
Self-Review Compiler
On the Reviews screen, once an employee has submitted their self-review, click Compile into the worksheet (AI). It drafts manager-worksheet content from what the employee actually wrote, grounded only in the self-review and your notes, never invented. A per-field review modal shows each proposed section: edit any of them, tick which ones to apply, and choose append, fill empty fields only, or replace. Nothing writes to the worksheet until you click Apply.
Review Summary Drafter
Draft review summary (AI) turns the worksheet and your inputs into the formal review document (or the contractor evaluation, on the Contractors tab). The draft is saved to the review record and opens in the document modal for editing and export (Copy, Text, Print, Word on letterhead, Save to Library, Email). It restates what you entered in a fair, professional voice; it does not add facts you did not provide.
Contract Requirements Extractor
For contractor evaluations, Extract from the contract (AI) reads the contract you upload or paste (.docx, .pdf, or .txt, up to 15MB) and proposes a checklist of the concrete requirements it finds. You approve each proposed item with a checkbox before it is added to the scored checklist; nothing lands on the record without your approval. Scanned image-only PDFs cannot be read; use a text-based file.
Personnel Costs Narrative Drafter
On the Payroll screen's Reports tab, Personnel narrative (AI) turns your computed allocation figures into the personnel-costs narrative section of a grant or board report. It asks which grant the narrative is for, then writes from only the computed numbers (each person's gross pay, employer taxes, and hours as allocated across your programs, grants, and funds); it never invents amounts, names, or outcomes. The draft opens in the document modal for editing and export (Copy, Text, Print, Word on letterhead, Save to Library, Email).
Credentials & PD Report Drafter
On the Credentials & CEUs screen, Draft report (AI) turns your logged credentials into a written professional-development and compliance report for a board packet, a funder, or an accreditation review. It writes from only the records and totals you have entered (people tracked, credentials on file, total CEU hours, and what is expiring or lapsed); it never invents credentials, hours, names, or dates, and marks anything missing as [to confirm]. The report covers purpose, a summary of totals, the notable credentials, what is expiring or lapsed, and recommended next steps, and opens in the document modal for editing and export (Copy, Text, Print, Word on letterhead, Save to Library, Email).
All automation output is general HR education, not legal advice. Employment law varies by state; review significant actions with a qualified employment attorney. The HR Management app is part of All In One Nonprofit.
