Team chat. When you are signed in and part of a team, a Team chat button sits in the bottom-right corner of this app. It opens a real-time chat with your whole organization (live presence, typing indicators, and full message history), so you can message your team without leaving your work. Committee-specific chats live on your Team page.

1. About This Tool

Improve a document you already have: As well as generating documents, you can upload one you already wrote and have AI improve it. Open the AI Automations page and use the "Improve an existing document with AI" card: pick a file (Word, text, or a text-based PDF), and AI returns a cleaner version plus a summary of what changed, with your original kept.

A working marketing operations platform purpose-built for small-staff nonprofits. Most marketing tools assume a dedicated team, this one assumes you're the executive director squeezing marketing in between a board meeting and a grant deadline.

Everything lives in one place: campaigns, events, personas, messaging, email sequences, collateral, social media, press kit, board justifications, event playbooks, and an annual marketing plan generator that pulls it all together.

2. Getting Started

Live demo, no sign-in needed: https://marketing.allinonenonprofit.com/?demo=1, loaded with example campaigns, personas, sample email sequences and a marketing calendar.

Where to start

  1. Set up Personas (sidebar Strategy group → Personas), who are you actually trying to reach?
  2. Write your Messaging (Strategy → Messaging): your 3-5 elevator pitches by audience.
  3. Create your first Campaign: pick a real upcoming push (annual appeal, gala, awareness month).
  4. Build out the Member Journey (Strategy → Member Journey): what does a first-time visitor experience over their first 90 days?

The dashboard

Six tiles. Four of them count what exists right now: active campaigns, upcoming events, personas and email sequences. Two of them measure activity across a window: Campaigns launched and Posts published. The range control above the tiles sets that window (all time, this week, this month, this quarter, this year) and it starts on all time, so a new account sees its real numbers rather than a screen of zeros. The other four tiles do not move when you change it.

A campaign counts as launched the moment you move it out of Planning, and that moment is recorded. Campaigns that were already running before this existed fall back to their planned start date, which is the only evidence of when they went live. A post counts as published when its status is Posted, on the date shown on its card, so drafts, scheduled posts and cancelled posts never count. Anything launched or published that carries no date at all appears only under all time, because there is no date to place it on.

Your first session

Brand new to the app? Follow these steps in order. By the end you will have your first campaign set up and a piece of content produced. Labels in blue match what you see on screen.

  1. Sign in and set up your organization. Open the app and sign in with your All In One Nonprofit email. If asked, choose Start a new organization → and enter your Organization Legal Name. You land on the Marketing Overview.
  2. Define one persona. In the sidebar, open the Strategy group and click Personas. Add a profile for the audience you most want to reach (donors, volunteers, families you serve). Personas drive audience selection in every campaign.
  3. Write your messaging. Still in Strategy, click Messaging and jot your three to five core messages by audience.
  4. Create your first campaign. Go to the Dashboard (or the Campaigns group) and click + New Campaign. Type a name (for example "Spring Annual Appeal") and confirm. You are taken to the Campaign Overview for it.
  5. Fill in the campaign basics. On the Campaign Overview, complete the objective, audience, channels, timeline, and budget fields. Your entries save automatically.
  6. Plan some content. In the sidebar, open the Content Library group and click Social Media Planner to draft posts, or Collateral Builder to build a one-pager or flyer.
  7. Brand your documents (recommended). Add your letterhead, footer, and signature once on the My Organization page and every export carries your branding, across every app.
  8. Pull it together. When you are ready, open the Output group → Build Plan to generate a board-ready annual marketing plan from everything you have entered.
Tip: the campaign switcher

Most tabs in the Campaigns group act on the active campaign. Use the Editing dropdown at the top of the Campaign Overview, or click any campaign in the Campaigns list, to switch which one you are working on.

5. Org-Wide Libraries

Personas

Detailed profiles of your target audiences. Each persona captures demographics, motivations, channels, pain points, key messages. Drives audience selection in every campaign.

Click path: Sidebar → Strategy group → Personas.

Messaging

Your 3-5 core messages by audience. Reusable across campaigns and channels.

Click path: Sidebar → Strategy group → Messaging.

Email Sequences

Reusable autoresponder flows, welcome series, donor cultivation, lapsed-donor reactivation, event-prep, post-event thank-you. You can push a finished sequence to your connected email tool (MailerLite, Mailchimp, or Brevo); with MailerLite it goes over as draft campaigns.

Click path: Sidebar → Content Library group → Email Sequences.

6. Collateral, Social, Press & More

These live in the Content Library group (and Board Justifications in the Output group):

  • Collateral Builder: brochures, one-pagers, flyers, postcards, rack cards, with real print layouts.
  • Social Media Planner: plan, draft, and (when connected) publish posts across platforms.
  • Press & Media: press kit, media list, recent coverage tracker.
  • Event Playbooks: step-by-step run-of-show templates for gala, volunteer day, ribbon cutting, etc.
  • Board Justifications (in the Output group): pre-built arguments for tough budget conversations ("Why we need to invest in marketing").
Click path (a social post): Sidebar → Content Library group → Social Media Planner → add a post → write the content, pick the platform and date → use the image upload or paste an image URL → (optional) Publish or Schedule.

Connect your social accounts (AIONP Complete and AIOFP Complete). To publish or schedule straight from the Planner, connect each account once: open Settings in this app, find Social publishing, and press Connect beside LinkedIn, Facebook, Instagram, X, Threads, Pinterest, TikTok or YouTube. A new tab opens on that network: sign in, choose the page you post as (your company page or Facebook page, not your personal profile, unless you mean to), and press Allow. Come back and press Refresh; the account shows as Connected. You do not open any other account: the platform handles the connection for you. Only the owner or an admin can connect or disconnect, and you must be an admin of the page on the network itself. Every connection is also listed on My Organization, Connections.

Import posts from a .csv file. Planned a month of posts in a spreadsheet? Save it as a .csv file with a header line naming the columns date, time, platform, text, link and image_url (any order; Download the template on the Planner gives you one), then press Import posts from a .csv file. Every row is checked and shown before anything is added: a platform the Planner does not know, a date or time it cannot read, a post with no text and no image, or an Instagram, TikTok or YouTube post with no image is marked and left out. Then choose Add as drafts, or Add and schedule all to schedule every ready row on your connected accounts at its date and time (9:00 AM in your time zone when the time is blank). Up to 200 rows per file. Dates can be written 2026-11-03 or 11/3/2026, and times 09:00 or 9:00 AM. For posts scheduled far ahead, use a hosted image address, not an uploaded file.

Click path (a one-pager): Sidebar → Content Library group → Collateral Builder → choose a type (such as 1-pager or flyer) → fill the structured fields → export to a branded document.

7. Email Campaign

The Email Campaign page (in the Channels group) composes and sends a one-off email broadcast to your marketing audiences (prospects, contacts, donors) through your organization's own connected email tool (MailerLite, Mailchimp, or Brevo). All In One Nonprofit composes the email and hands it to your email tool; your email tool owns the actual sending, your subscriber list, the unsubscribe link, deliverability, and CAN-SPAM compliance, all on your own account.

Only email people who opted in

An email campaign goes to people who agreed to hear from you. Sending to a purchased or scraped list of prospects damages your sender reputation and can break anti-spam law. Build a recipient list from contacts who signed up, not from cold prospects.

Connect your email tool first

Before this page can send, connect your own email tool on the My Organization page: choose MailerLite, Mailchimp, or Brevo and paste that provider's API key. One connection powers every campaign you send. With MailerLite, verified 501(c)(3) nonprofits get 30 percent off MailerLite's paid plans.

Compose the email

  • Compose mode: set a subject line and the inbox preview text, optionally upload a header banner (about 1200px wide, for example 1200 by 400; large images are shrunk to 1200px automatically), then add repeatable sections, each with a heading, body, and an optional uploadable image (also auto-downscaled), each with a Remove button. A live preview shows the finished email.
  • Bring your own HTML: paste HTML or upload an .html file to send it as is.

Draft with AI Included

List a few topics or bullets and Draft with AI writes the sections and a subject line, framed for a marketing audience, for you to edit. It invents nothing: specifics it does not know are left in [brackets]. This drafter comes with the app, on either plan.

Templates, resets, and HTML export

Save a reusable skeleton as a template, use Clear / Start over for a fresh send, and Download HTML or Copy HTML to paste the email into your email tool by hand.

Pick who receives it

Under Send to, choose a list in your email tool as the recipient list. Build a list from your records creates a list in one click from your own data (Contacts or Donors).

Send, schedule, or save a draft

Choose Send now, or with MailerLite also Create draft (safest first time) or Schedule. Everything goes through your own connected email tool. Drafts and scheduling are available with MailerLite; Mailchimp and Brevo support instant send. With MailerLite, every draft and sent campaign is archived under Campaigns.

A note on MailerLite plans

Sending an outside-built email through MailerLite's API requires their Advanced plan. On the Free or Growing Business plan, use Download HTML or Copy HTML and paste the email into MailerLite, where you can send it on any plan.

Growth Channels (added October 24, 2026)

Growth Channels, after Social Media Planner in the sidebar, puts paid ads and free local reach side by side, in the order that fits your organization or business. It works on every plan, by hand; nothing on the page connects to an ad account, and the platform never creates or pays for an ad.

  • Choose your channels: answer four questions (your goal, who you are trying to reach, your monthly ad budget and the hours you have) and the page lists the channels in the order to do them, with the channels at a glance.
  • Paid ads: Google Search ads, Google Ad Grants for nonprofits (up to $10,000 a month in free search ads for qualifying 501(c)(3) organizations), Local Services Ads for businesses, Facebook and Instagram with Meta's special ad categories explained, YouTube and TikTok.
  • Free and local: a listing checklist (Google Business Profile, Bing Places, Apple Business Connect, Yelp, Foursquare, Nextdoor, your Facebook Page, and Candid for nonprofits) with your organization profile's name, address, phone and website beside it; Google Business Profile step by step; partners, email, articles and online communities; and, for nonprofits, the Ad Grants checklists for before you apply and every month after.
  • Track results: one row per channel per month (spend, clicks or calls, results, money in), with cost per result and return worked out, and a link builder that adds tracking tags to a page address.

On AIONP Complete and AIOFP Complete the page also does the work for you. On AI Automations, under Ads & Local, the Ad Kit writes a Google search ad to the character limits, keywords and negative keywords that are safe for Ad Grants, three Meta ad versions, a five-second YouTube hook and a TikTok idea, and the Google Business Profile Kit writes your description, categories, first four posts, common questions with answers and a review request. Put these steps on my list sends your plan to your to-do list, one step a week. For nonprofits, Remind me every month puts the Google Ad Grants check on Today on the first weekday of each month, and Fill in results from Donor Management counts the gifts whose appeal matches a row's campaign name in that month.

8. Build Annual Marketing Plan

The capstone: a polished annual marketing plan (HTML preview + .docx download) that pulls together campaigns, personas, messaging, calendar, and budget into a single board-ready document.

Best practice: build the plan once a year (Q4 of the prior year), then update quarterly. The Generator does the busywork, you do the strategy.

Click path: Sidebar → Output group → Build Plan → review the preview → download the .docx.
Worked example: run a Spring Appeal campaign end to end
  1. On the Marketing Overview, click + New Campaign, name it "Spring Annual Appeal", and confirm.
  2. On the Campaign Overview that opens, fill the objective, target audience (tie it to a persona), channels, timeline, and budget.
  3. Sidebar → Content Library → Email Sequences: build a short appeal sequence (ask, reminder, thank-you).
  4. Sidebar → Content Library → Social Media Planner: add a few posts dated across the appeal window.
  5. Sidebar → Content Library → Collateral Builder: produce a one-pager to share with donors.
  6. When the campaign wraps, reopen it from the Campaigns list and record results in its post-mortem fields. Then add the campaign to your annual plan via Output → Build Plan.

🎨 Document Branding

Brand the documents this tool generates. Your organization identity, branding (letterhead, footer, and signature), language, and connections are all set once on the My Organization page and carry across every app. You can even customize your organization's language there, renaming platform terms like donation or donor to the words your organization uses. What you can set:

Your organization can save more than one signature on My Organization (for example the executive director and the board chair), each with a name and title and one marked as the Default. Every Word export in this app offers a Signature pull-down listing them, with the Default preselected, plus No signature; the signer's name and title print under the signature image.

  • Letterhead: upload your organization's letterhead image; it appears at the top of every Word/PDF document.
  • Footer: address, phone, email, website, and EIN, plus optional page numbers, print at the bottom of every page.

Set it up once and it's applied automatically to your exports.

Signature details. Beyond the signature image, you can also save a default closing (for example, "Sincerely,"), your name, and your title. These are added with your signature when you export a document, so letters sign off correctly without retyping them each time.

Snippets and stats. Your settings also include a Stats & Snippets panel. Save reusable blocks of text you use often (your mission statement, standard boilerplate, a recurring call to action) and copy any of them into a document you are drafting, so you never rewrite the same wording twice.

Signing In and Administrator Access

You sign in to this app with your All In One Nonprofit account, at https://app.allinonenonprofit.com/signin. There is no separate password for this app, and no administrator password to set up in your browser. The older Administrator Access link and its per-browser password have been retired.

What you can see and change here follows your access level in your organization. The owner and Admins set each member's access level on the My Organization page, at https://www.allinonenonprofit.com/team/.

When you sign out, this app clears its copy of your organization's records from the browser, so a shared or borrowed computer does not keep them. Nothing is lost: your organization's records stay in your account and come back the next time you sign in.

AI Automations

The sidebar's AI Automations page (directly under Dashboard) holds drafting tools: a Full Campaign Kit Compiler (messaging, three announcement social posts, and the announcement email from your active campaign, with Apply buttons), a Brand Messaging Builder, an Event Promotion Kit, a Press Release Drafter, an Email Sequence Drafter, a Newsletter Drafter, a Persona Builder, and a Social Post Pack.

If your newsletter (or journal, or book program) has an editor and a committee behind it, publishing governance, who approves what, is covered in the Workflow Scenarios.

Several apply their results straight into the app: personas, press releases, event plans, sequences, and campaign messaging are filled in for you after a confirmation. Every draft opens in an editable preview with Copy, Text, Print, Word, and Email, and nothing replaces existing text without asking. See the AI Automations Guide for details.

Publish a press release to your website. Open a release on the Press Releases page and click Publish to your website. The headline, lede, body, boilerplate and media contact name and email become a post in the News section of the Website app, with no retyping. It appears in any News block, at /news on your site, in the News embed and in the RSS feed. Click the button again after an edit and the same post is updated. The contact phone number is left off on purpose, because the post is public.

If you are an intern

If your seat is an Intern seat (October 17, 2026), you can read this app and draft in it, and nothing you save changes the organization's records until someone approves it. What you can draft here: posts, campaigns and collateral you draft here. Sending or publishing is not available to an intern. Your Save button reads Submit for approval, a banner at the top of the app says so, and each save tells you it was sent. Follow your drafts on Waiting for you at https://app.allinonenonprofit.com/waiting: each one shows whether it is waiting, approved or returned, with the note from whoever returned it, and you can withdraw one that is still waiting. The owner, an Admin, or anyone who can already make changes in this app approves or returns it; a draft with no decision expires after 30 days. How the seat is set up: https://www.allinonenonprofit.com/guide/.

Working with your organization

All In One Nonprofit works as a shared organization. From My Organization you can set up your organization and see who has joined, and everyone is recognized across every app once they sign in. Anyone who signs in with an email address on your organization's own domain (for example [email protected]) joins automatically; people using a personal address such as Gmail, Yahoo, or Outlook join through the email invitation you send them. Signing in is passwordless: enter your email at the member portal, app.allinonenonprofit.com, and we email you a one-click sign-in link (signing in with Google also works). New to the platform? The Platform Workflows shows what to do first, by role. For step-by-step walkthroughs of real situations, see the Workflow Scenarios. Deeper in-app collaboration arrives across your apps as we roll it out, so you can set up your organization now and grow into it.
